To save a copy of a Pages document in another format, you export it in the new format. This is useful when you need to send the document to people who are using different software. Any changes you make to the exported document don’t affect the original.

If you added marks or edits using smart annotations, they won’t appear in exported Word, EPUB, or Pages ’09 documents. You can export a document to PDF with or without smart annotations and comments.

Note: If the original file has a password, it applies to copies exported in PDF, Word, and Pages ’09 formats, but you can change or remove it.

1. Open the document, then choose File > Export To > [ file format] (from the File menu at the top of your screen).

   

2. Specify export settings:

   • PDF: These files can be opened and sometimes edited with applications like Preview and Adobe Acrobat. Click the Image Quality pop-up menu, then choose an option (the higher the image quality, the larger the file size). If you added image, drawing, audio, or video descriptions for assistive technology (for example, VoiceOver), they’re automatically exported. To include smart annotations or comments, select the corresponding checkbox. To include accessibility tags for large tables, click Advanced Options, then choose On.

   • Word: If the file needs to be compatible with an older version of Microsoft Word (1997-2004), click Advanced Options, then choose .doc from the pop-up menu.

   • EPUB: Use this format to make your document readable in an ebook reader (such as Apple Books). Enter the title and author name, then choose a cover option.

     For word-processing documents only, choose a layout type. A fixed layout preserves the layout of your document and is best for documents with multiple columns or lots of images. A reflowable layout adapts to the screen size and orientation and lets users change the font size. It’s best for documents with lots of text.

     To set optional features, click the disclosure arrow next to Advanced Options, then choose a category, specify the document’s language, set the view to one page or two pages, and choose whether or not to include the table of contents or embed fonts.

   • Plain Text (TXT): Body text is exported as unformatted text. Text boxes, shapes, images, lines, tables, and charts aren’t exported. Page layout documents can’t be exported in TXT format.

     Tip: To see if you have a word-processing or page layout document, click

     
     in the toolbar. If there’s a Bookmarks tab at the top of the sidebar, it’s a word-processing document.

   • Rich Text Format (RTF): Body text and tables are exported as formatted (RTF) text and tables. If the document has text boxes, shapes, lines, and charts that can be exported, they’re exported as images, and the document is exported in RTFD format. Other applications may not be able to open an RTFD file. Page layout documents can’t be exported in RTF or RTFD format.

   • Pages ’09: This format can be opened by Pages 4.0 through 4.3 on a Mac.

3. If there’s a password checkbox, do one of the following:

   • Set a password: Select the “Require password to open” checkbox, then enter a password. It applies only to the exported copy.

   • Keep the original document password: Make sure the “Require password to open” checkbox is selected.

   • Use a different password for the exported copy: Select the “Require password to open” checkbox, click Change Password, then set a new password.

   • Export the copy without a password: Deselect the “Require password to open” checkbox.

4. Click Next, then type a name for the document (without the filename extension, such as .pdf or .epub, which is appended to the name automatically).

5. Enter one or more tags (optional).

6. To choose where to save the exported copy, click the Where pop-up menu, choose a location, then click Export.

To make it possible to read your document in an ebook reader (such as Apple Books), you can export it in EPUB format.

1. Open the document, then choose File > Export To > EPUB (from the File menu at the top of your screen).

2. Enter the requested information:

   • Title and Author: Enter the title and author you want viewers to see if you publish it.

   • Cover: Use the first page of the document or choose a PDF or image file.

   • Layout: For a word-processing document, you can choose “Fixed layout” to preserve the layout of the page, or Reflowable so readers can adjust the font size and style (which may change how much content is visible on each page). Page layout documents can use only a fixed layout.

   • Category and Language: Click Advanced Options, then assign a category for the EPUB document and indicate the language of the document.

   • View As: Click Advanced Options, then choose Single Page to show one page at a time, or Two Pages to show a two-page spread.

   • Use Table of Contents: Click Advanced Options, then choose Use Table of Contents if you want to include the table of contents you created.

   • Embed Fonts: Click Advanced Options, then select the checkbox to include TrueType and OpenType fonts in your EPUB document.

3. Click Next, then type a name for the document.

   The filename extension .epub is automatically appended to the document name.

4. Enter one or more tags (optional).

5. To choose where to save the document, click the Where pop-up menu, choose a location, then click Export.

To make your book available for purchase or download from Apple Books, you can publish it to Apple Books directly from Pages. An EPUB file is created during the process—you don’t need to export the book in EPUB format first.

1. Open your Word document.

2. Select the View tab, then select Immersive Reader

   
    . Immersive Reader will launch a full screen experience. 

3. Choose the Immersive Reader options that work for you from the ribbon.

4. Once you click in your Word document to read or edit, the Immersive Reader ribbon will minimize. To make the ribbon visible so you can change Immersive Reader settings or close Immersive Reader, select the ... at the top of the screen. 

Column Width changes line length to improve focus and comprehension.

Page Color can make text easy to scan with less eye strain.

Line Focus removes distractions so that you can move through a document line by line. Adjust the focus to put one, three, or five lines in view at a time.

Text Spacing increases the spacing between words, characters, and lines.

Syllables shows breaks between syllables, to improve word recognition and pronunciation.

Read Aloud highlights each word as it reads your document to you.

• Select the Settings icon, then:

  • Drag the Reading speed control to adjust reading speed. Move to the right to increase speed and to the left to decrease it. Press Play to hear the different speeds.

  • Use the Voice Selection dropdown menu to choose different voices for the reader. Select a voice and then press Play to hear it.

• Select X to close Read Aloud

Tip: Get directly to Read Aloud by right clicking anywhere in your document and selecting Read Aloud. 

Select the View tab, then select Immersive Reader, then select Close Immersive Reader. 

1. Select the View, then Immersive reader. Your document will open in a full screen format. 

Once your document opens within Immersive Reader, you can do one or more of the following, depending on how you want to focus on the content in your document:

• To hear the paragraphs read to you, select the Play button.

• To listen from a certain point on your page, select that word.

Select the gear icon to open Voice Settings.

The Voice Speed slider controls the playback speed of the reader.

• Select Voice Speed, then drag the control to the right or left. Move to the right to increase speed and to the left to decrease it.

• Select your preference of Male or Female voice.

• Press Play to hear the different speeds and voices.

You can change the appearance of your document by using Text options. The choices you make in text options can help remove visual distraction and improve text readability.

The Text Options menu lets you:

• Change text size

• Reduce crowding between letters

• Change the font

• Change background color

Parts of Speech controls grammar highlighting and helps readers understand complex sentences.

• To use, select Parts of Speech (looks like three books).

• Choose what to highlight:

  • Syl·la·bles splits words by showing small dots between syllables.

  • Under Parts of speech, turn on Nouns, Verbs, or Adjectives to highlight every noun, verb, or adjective on the page in a color that corresponds to the color of the label.

Reading preferences

• Line Focus enables readers to narrow the focus of their reading experience by highlighting sets of one, three, or five lines within their chosen material in Immersive Reader.

  

• Picture Dictionary gives you the ability to click on any single word and view visual support. You can also hear the word read aloud.

  

• Translate allows you to view a selected word or the entire document in your preferred language.

  

Use the toggles to adjust your reading preferences.

• Up/Down arrow scrolls line by line

• Page Up/Page Down scrolls screen by screen

• Left/Right arrow goes to previous/next page in your OneNote Notebook

• Select Column Width to change the line length. This can improve focus and comprehension.  

• Select Page Color to choose between

  • None (standard white page)

  • Sepia (pale yellow page with print feel)

  • Inverse (black background with white text)

• Select Text Spacing to increase the distance between characters. 

• Select Read Aloud to have sections of text highlighted as your document is read out loud to you. To change Read Aloud settings:

  • Select the Settings icon, then:

    • Drag the Reading speed control to adjust reading speed. Move to the right to increase speed and to the left to decrease it. Press Play to hear the different speeds.

    • Use the Voice Selection dropdown menu to choose different voices for the reader. Select a voice and then press Play to hear it.

      

• Select X to close Read Aloud

• Select Close Immersive Reader to close the assistive experience and return to the Word document as it is formatted.
